Receptionist

Bensimon Byrne is Canada’s largest independent agency, and we are looking for a Receptionist to join our Office Services team.

The Receptionist is the energetic and outgoing face of the agency who is professional, pleasant, and upbeat with a customer service orientation.

CORE RESPONSIBILITIES

  • Meet and greet all visitors and staff coming into the office and handle their requests in a helpful, friendly, upbeat manner

  • Maintain a tidy reception desk and surrounding lobby area, closets and supply room

  • Answer and transfer calls, make pages and resolve any inquires; check company voicemail on a daily basis and relay messages to appropriate staff members

  • Coordinate courier services – place orders to send out or receive packages, track packages, trouble shoot, record incoming packages and notify staff person, reconcile invoices

  • Book meeting rooms and trouble shoot any scheduling issues

  • Order catering requests for meetings adhering to the agency’s Catering Policy and ensure dockets are recorded and invoices are reconciled

  • Make purchases for Credit Card Requests when Office Service Manager is unavailable. Keep an accurate record of receipts and assist with reconciliation.

  • Order office supplies (paper, pens, envelopes, etc.,) ensuring that the office and mail areas are always stocked, neat and tidy

  • Responsible for tracking, documenting and renewing Memberships, Publications and Subscriptions.

  • Ensures reception and administrative agency documents are up to date – i.e. phone lists, key building contact information, etc.

  • Assist the Office Service Manager with other projects and administrative work as necessary

Desired skills and experience

  • Excellent communication and interpersonal skills with an outgoing disposition

  • Customer service experience dealing with internal staff and external clients and vendors

  • Great time management and organizational skills

  • Active listener with a high degree of patience

  • Attention to detail and ability to take direction from multiple sources

  • High degree of composure with the ability to problem solve quickly and efficiently

  • Strong work ethic

  • 1-2 years experience in an administrative or receptionist position
